Rutland City Police Department Records Clerk
- Maintain all departmental records
- Handle criminal discovery requests
- Process crash reports
- Fingerprinting – Teachers, Foster parents, etc.
Summary of duties and responsibilities:
- Performs administrative and clerical work to ensure proper maintenance of department records and data entry systems, and other related work as required.
- Answers telephone calls and any other form of correspondence and responds to routine inquiries based on knowledge of department operations relative to arrest, offense, incident and accident reports.
- Develops and processes a variety of correspondence, memoranda forms, and reports as necessary or directed.
- Prepares court related records and documentation, ensures all records and documentation are complete and accurate prior to forwarding to the State’s Attorney’s Office and/or court.
- Makes frequent contacts with the general public, other city departments, law firms, insurance companies and local, state and federal governmental agencies.
- Prepares information or reports for public disclosure. Fulfills requests for information or reports as appropriate, following department regulations, state and federal statutes concerning release and maintenance of records. Processes fees paid to the department and submits to City Treasurer’s Office as necessary.
- Prohibit the removal of a record, report or file except through provisions provided for by department regulation, policies or proper authority.
- Oversees maintenance of department’s adult and juvenile criminal records, master name index and associated file. Maintain security of all records and not divulge information of a confidential nature or which relates to departmental business.
- Maintains family court documents when they are accompanied by a case.
- Enters data and maintains records of arrest, traffic enforcement, crash data, and crime statistics as necessary for inclusion in NIBRS.
- Manages department records including expunging/sealing of records when applicable and maintenance of general statistical data in records; conducts monthly audits for Vermont Criminal Information Center and periodic audits for National Crime Information Center. Ensures officer reports and data submissions include necessary federal reporting information. Accurately file and maintain files assigned to records.
- Maintains accountable documents (ie; Vermont Traffic Tickets, sends property copies to appropriate agencies and maintain a pending and permanent file as directed by department procedures.
- Obtain a receipt for all records removed by all authorized persons.
- Responsible for the scheduling and fingerprinting of all civilian’s requesting to be fingerprinted for assorted employment (ie; teachers, daycare, adoption, foster parents) and ensuring that required documentation and identification paperwork is in order.
- Maintain a record of alarm permits issued.
- Responsible for processing and renewing department identification cards and also identification cards for other agencies upon request and approval by the Chief of Police.
- The Records Clerk is under the direct command of the Commander of Professional Standards and performs any other necessary tasks or functions as necessary to accomplish department goals and objectives.

Pay: $22.85 – $28.99 per hour
