Job Description
Position Title: Receptionist
Reports to: Branch Manager
A. SUMMARY
Provides assistance and administrative support for all areas of the agency.
B. POSITION FUNCTIONS
1. Greets walk-in clients and company personnel, directing them to the appropriate department or employee.
2. Answers phone and receives faxes
3. Responsible for copying functions and communicating copier maintenance requests.
4. Point person for other office equipment issues/needs.
5. Process typed material on word processing equipment.
6. Purchases and inventories agency supplies.
7. Maintains and refills postage machine.
8. Monitors expenses for telephone and postage so that any cost savings can be recognized and implemented.
9. Updates agency Distribution List/Constant Contact
10. Programs and communicates to affected employees all new material for form letters, within 48 hours of receipt.
11. Types dictated material and proofreads all typewritten material, to ensure error-free content.
12. Distributes all typewritten material as per instructions of requester.
13. Provide assistance as needed/requested for clerical tasks, such as setting up permanent files, etc.
14. Performs other functions as assigned by management.
15. Supports needs of Commercial, Personal, and Benefits departments.

C. KNOWLEDGE, SKILLS AND ABILITIES
Must be organized, with demonstrated skills for effective verbal and written communication. Should be familiar with business operations at the corporate level and should have a good understanding of the agency system. Must be highly knowledgeable about the mechanics and applications of word processing programs.
D. OTHER REQUIREMENTS
Ability to use personal computer, calculator, agency automation system, and proficiency in various software programs, including but not limited to Microsoft Word and Excel.
E. WORKING CONDITIONS
Fast-paced multi-tasking environment.

Job Type: Full-time

Pay: $17.40 – $18.37 per hour

Schedule:

  • 8 hour shift

  • Trenton, ME 04605: Relocate before starting work (Required)
