The Human Resources Assistant provides administrative and record keeping support within the Human Resources Department for payroll, benefits and other human resources projects.
PRIMARY DUTIES & RESPONSIBILITIES:
- Provide support for a wide range of human resources activities to maintain records, prepare and disseminate information, respond to inquiries, support benefits administration, conduct research and assist with cyclical human resources processes and special projects throughout the year.
- Serve as the back-up to payroll as needed to perform the bi-weekly payroll process and maintain working knowledge of all processes and procedures and stay informed about the external payroll system and contacts.
- Maintain employee personnel files, including set up new files, update and add information and enter new hires onto the ADP system with all relevant information.
- Complete credit check, background check and reference checking for new hires; make offer to candidate.
- Send out welcome letter to applicant and complete RT ticket to IT to begin the process of the onboarding paperwork.
- Update and maintain employment compliance posters on a yearly basis.
- Report worker’s compensation injuries within 24 hours of the injury to the insurance carrier. Maintain a yearly log of work-related injuries and prepare the summary of work related injuries for each branch location to be posted on the employee bulletin board.
- Manage and run I-9 reports for new hires through e-verify.
- Perform duties to assist with projects or assume responsibility for assigned projects in the areas of human resources.
- Back up to filing on-line reports for Department of Labor and other government reporting.
- Order office supplies and other items for human resources; check and maintain a basic inventory of commonly used supplies
- Stay informed about and adheres to policies, procedures and regulations related to human resources.
JOB COMPETENCIES:
- Knowledge and understanding of payroll and benefits procedures.
- Ability to prepare good business letters and other written documents.
- Good communication skills to deal with a wide range of individuals, including unhappy employees on occasion.
- Ability to organize, file, fax, photocopy, mail and store documents; ability to set up, and maintain computer records and to manage data and generate reports.
- Ability to work cooperatively with others to identify, recommend and implement opportunities for increased efficiency in the Human Resources Department.
EDUCATION & EXPERIENCE:
- An associate’s degree in business or a related field is preferred and two years’ experience working in an office environment with similar or related human resources experience, or a comparable combination of education and experience.
- Familiarity with human resources practices, operations, and functions.
- Excellent computer skills; strong knowledge of Microsoft Office products, including excel; experience with financial systems such as payroll.
