Job Details

Monday through Friday: 7:30am to 4:00pm. Overtime as needed.

Summary of duties and responsibilities:

Demonstrates ability to communicate professionally and effectively with personnel, teammates, visitors and customers at all levels.
Answer, screen and forward all incoming calls while providing basic information as needed.
Create Cash sales receipts and collect payment for all cash sales as per established procedures.
Create credit memos for all returned items.
Create and submit invoices for all customers per established procedures.
Review all invoices for accuracy before being sent to customers.
Maintain customer master files with contact information.
Coordinate with Database programmer on any changes to customer data requirements or issues with data formats.
Review meter records and all customer data files for accuracy and submit to customers.
Maintain trucking schedule. Coordinate between customers and our driver to ensure all deliveries are made on time.
Create Bill of Lading and other necessary shipping documents.
Other duties and responsibilities as assigned by management.
Education:

Highschool diploma or equivalent.

Experience:

Two to five years in an administrative assistant role or equivalent. Accounting and invoicing knowledge preferred. Manufacturing experience a plus.

Ability to work in a fast pace environment.
Demonstrates ability to be professional, resourceful and proactive in dealing with issues that may arise.
Ability to organize, multitask, prioritize and work under pressure.
Proficiency to work on an “as needed” basis on various assignments or projects.
Talent and motivation to learn the products of the business.
Experience working in a team environment, providing direct support to Senior Management and other management and office personnel
Exhibits strong social and communications skills
Self-starter who recognizes and takes action to run an efficient office.
Ability to effectively adapt to emerging challenges and frequent changes.
Demonstrates excellent attention to detail and quality of work.
Computer Knowledge:

Microsoft Office application proficiency to include Word, PowerPoint, Excel, and Outlook.

ERP System.

Physical Demands

The role will have to spend long hours sitting and using office equipment and computers. This role may also have to do some light lifting of supplies and materials from time to time.
